1. Scope of Services

ShilMedia Events Pvt Ltd provides end-to-end services including (but not limited to) Event Management, Stage Setup, Lighting Arrangement, Audio Equipment, Seating & Decoration, Artist Coordination, Media Production (Photo/Video/Drone), Live Telecast, Digital Marketing, Branding, and Rental Services. All services will be delivered strictly as per the mutually agreed quotation or proposal.

2. Booking & Confirmation

  • A project is considered confirmed only after written approval and receipt of advance payment.
  • Verbal confirmations are not treated as final bookings.
  • Dates and resources are blocked only after advance payment is received.

3. Payment Terms

  • An advance payment is mandatory to initiate any project.
  • The remaining balance must be paid before or on the event date, unless otherwise agreed in writing.
  • For long-term or digital marketing projects, payments may follow monthly or milestone-based schedules.
  • Late payments may result in service delays or suspension.

4. Cancellations & Rescheduling

  • Any cancellation must be informed in writing.
  • Advance payments are non-refundable.
  • Rescheduling is subject to team and equipment availability.
  • If cancellation occurs close to the event date, the client may be liable for partial or full charges based on incurred costs.

5. Client Responsibilities

The client agrees to:

  • Provide accurate event details, timelines, and requirements.
  • Obtain all necessary permissions (venue, police, government, society, etc.).
  • Ensure timely access to the venue for setup and dismantling.
  • Provide power supply, parking, and basic working conditions unless otherwise agreed.

Delays caused by missing approvals or client-side issues are not the responsibility of ShilMedia.

6. Creative Ownership & Rights

All designs, videos, photos, and creative materials remain the property of ShilMedia Events until full payment is received. After payment, clients receive usage rights for agreed purposes. Raw footage will be provided only if mentioned in the quotation.

7. Portfolio & Promotional Usage

ShilMedia Events reserves the right to use event photos, videos, and creatives for portfolio, website, social media, and promotional purposes unless the client explicitly requests otherwise in writing before the event.

8. Equipment Damage & Liability

Any damage to ShilMedia equipment caused by guests, venue conditions, or improper handling will be charged to the client. ShilMedia is not responsible for loss or damage caused by crowd behavior, weather, or third-party interference.

9. Third-Party Vendors & Artists

Artists, venues, and external vendors operate under their own terms. ShilMedia coordinates these services but is not responsible for their internal policies, performance issues, or cancellations.

10. Force Majeure

ShilMedia Events is not liable for delays or cancellations caused by natural disasters, weather conditions, government restrictions, strikes, pandemics, power failures, or other circumstances beyond reasonable control.

11. Content Approval & Revisions

Final creatives/media will be shared for client review. Minor revisions are included. Major changes beyond the agreed scope may attract additional charges.

12. Delivery Timeline

Photo/video deliverables will be provided within the agreed timeframe (typically 7–21 working days depending on project size). Digital marketing reports and creatives follow the timeline mentioned in the agreement.

13. Pricing & Validity

Quotations are valid for a limited period. Prices may change if the scope of work changes or if additional services are requested.

14. Confidentiality

Client information will be treated confidentially and used only for project execution and communication.

15. Limitation of Liability

ShilMedia Events shall not be liable for indirect or consequential damages. Maximum liability, if any, shall not exceed the total project value.

16. Governing Law

All disputes are subject to Tamil Nadu jurisdiction only.

17. Acceptance of Terms

By confirming a booking or making payment, the client agrees to all the above Terms & Conditions.
